Today board and attendance
- Each child shows as expected, present, absent, unexpected or departed.
- Check in, check out and record an absence in a few taps. A child who leaves and comes back the same day can be checked in again.
- Expected days come from each child’s enrolment and weekly pattern, with one-off exceptions and branch or academy closures.
- A short Needs attention list sits above the board: awaiting arrival · agenda not captured · work with no teacher · payment due or money not applied · nobody authorised to collect.
- Mistakes are corrected explicitly, with a reason, and the correction is recorded.
Pickup safety
- Each child has a list of people authorised to collect them. Owners, admins and coordinators add, withdraw or restore people on it; teachers cannot, and the history is kept.
- Check-out records who collected the child. Someone not on the list is recorded as an unlisted collector — never shown as authorised.
Registration and student records
- A guided registration workflow: child, family, service, package and weekly days, invoice and payment. Stop halfway and resume where the records show you left off.
- Readiness is worked out from the records — Incomplete, Ready with follow-up, or Ready — with each missing item linked to where it is fixed.
- Each child has one record: an identity card with Overview, Services, Family and Money tabs.
Billing and collections
- After-school packages are priced per billing period, and partial periods are prorated.
- Invoices go from draft to issued, numbered in sequence. Issued invoices are never edited — corrections are credit or debit notes.
- Record a payment and see what it will settle before you confirm. Every payment gets a receipt, and one payment can settle several invoices.
- Money received but not yet applied is held for the family and shown first the next time you collect.
- Collections lists what is owed, by whom, ordered by what is late. A period not invoiced yet shows as “Not yet billed”, never as zero.
- Owners and admins get a Business workspace: collected today, held, still owed and overdue; enrolments ending in the next 30 days; tutoring packages by lessons remaining.
Tutoring
- Define tutoring offers: number of lessons, lesson length, price and currency, with optional validity, subject or teacher.
- Book one-to-one lessons against teachers’ recorded availability. Praxadem refuses to double-book a teacher or a student.
- A recurring lesson plan has an end date, and its lessons are booked together or not at all.
- Each family’s package shows lessons used, held and still available. Lessons with no package behind them, and cancellations nobody has settled, are listed so they are not missed.
- Settling a cancellation — returning the lesson to the package or counting it as used — is an owner or admin decision, recorded with a reason.
Team and families
- Owners and admins add staff, assign roles, and end or restore access.
- Give a family a login and share their single-use activation link over WhatsApp or by copying it. The parent chooses their own password.
- Link families to their children. Owners and admins can open a read-only Family Preview to see what a family sees.
- A setup checklist walks a new academy through its branch, curriculum, programs, offerings and prices, tutoring, team and families.
What each role can do is enforced on the server and in the database, not by hiding buttons. Each academy has exactly one owner, whose role cannot be changed or taken by another admin.
