How Praxadem works

Praxadem connects the parts of an after-school and tutoring academy that usually live in separate notebooks, chats and spreadsheets. Here is what it does today.

The day: Today board, attendance and pickup

Today is where the front desk works. Each child shows as expected, present, absent, unexpected or departed, with a short list of what needs attention above the board.

  • Check in, check out and record an absence in a few taps. A child who leaves and comes back the same day can be checked in again.
  • Check-out records who collected the child. Someone not on the child’s pickup list is recorded as an unlisted collector — never shown as authorised.
  • Pickup authorisations are kept per child. Staff add, withdraw or restore them, and the history is preserved.
  • Expected days come from each child’s enrolment and weekly pattern, with one-off exceptions and branch or academy closures.
  • A child who arrives unexpectedly can be found and checked in from the door.
  • Mistakes are corrected explicitly, with a reason, and the correction is recorded.
  • Needs attention groups: awaiting arrival · agenda not captured · work with no teacher · payment due or money not applied · nobody authorised to collect.

Students: one place for each child

Each child has an identity card and four tabs — Overview, Services, Family and Money — so the whole picture is one screen away.

  • Registration is a guided workflow: child, family, service, package and weekly days, invoice and payment. Stop halfway and resume where the records show you left off.
  • Readiness is worked out from the records — Incomplete, Ready with follow-up, or Ready — and each missing item links to where it is fixed.
  • Owners and admins can open a read-only Family Preview to see what a family sees.

Academic work and daily summaries

Homework and academic tasks belong to the child, not to the day — unfinished work is still there tomorrow.

  • Unfinished work carries forward as the same task, not a copy.
  • Track progress, assistance, difficulty and completion — including who completed it, and when.
  • Teachers are responsible for students, optionally by subject, and can claim unassigned work.
  • “No homework today” is recorded as a fact, distinct from nobody having checked.
  • Parents can propose work for their own child; staff confirm it in.
  • Each day, staff review a summary drafted from what was recorded and publish it to the family. Before sending, Praxadem flags unfinished work so the message does not contradict the record.
  • A published summary can be copied or shared by hand — for example into a WhatsApp chat.

Tutoring: offers, lessons and packages

Tutoring is its own service, with its own diary and its own packages — kept separate from after-school attendance.

  • Tutoring offers define what you sell: number of lessons, lesson length, price and currency, with optional validity, subject or teacher.
  • A lesson is one student, one teacher, one subject, at a set time. Praxadem refuses to double-book a teacher or a student.
  • Teachers’ weekly availability and time off are recorded. A recurring lesson plan has an end date, and its lessons are booked together or not at all.
  • Each lesson ends as completed, cancelled by the academy, cancelled by the family, or no-show.
  • A family’s package shows lessons used, held for upcoming lessons, and still available — calculated from the records, not from a counter anyone can edit.
  • Lessons with no package behind them, and cancellations nobody has settled, are listed so they are not missed.
  • Teachers write a lesson summary the family can read; internal notes stay with staff.

Money: packages, invoices, payments and collections

Praxadem records what the academy charged and what came back — clearly, and without rewriting history.

  • After-school packages carry a price per billing period. Owners and admins set prices, and every price change is recorded.
  • Invoices go from draft to issued. Families never see drafts; issued invoices are numbered in sequence and never edited — corrections are credit or debit notes.
  • Partial periods are prorated, and staff can charge a different amount with a recorded reason.
  • Record a payment and see what it will settle before you confirm. Every payment gets a receipt.
  • One payment can settle several invoices. Money received but not yet applied is held for the family and shown first the next time you collect.
  • Collections lists what is owed, by whom, ordered by what is late.
  • A period that has not been invoiced yet shows as “Not yet billed” — never as a zero balance.
  • For owners, a Business workspace shows money collected today, held, still owed and overdue, enrolments ending in the next 30 days, and tutoring packages by lessons remaining.

The family portal

Families see their own children — and only their own children.

  • The child’s academic day, published daily summaries, tutoring lessons and lesson summaries, tutoring packages, issued invoices, payments and receipts.
  • For a tutoring package, families see the price paid and, separately, what they owe now.
  • There is no public sign-up. The academy gives each family a login and shares a single-use activation link over WhatsApp, or by copying it.
  • The link works once and expires after 72 hours. The parent confirms their phone number and chooses their own password, then signs in with phone number and password.

Setup, team and access

Everyday setup happens inside Praxadem, done by the academy’s own owner and admins.

  • A setup checklist walks a new academy through its branch, curriculum, programs, offerings and prices, tutoring, team and families — worked out from what is configured, with nothing extra to maintain.
  • Branches, subjects, grades, programs, closures and tutoring offers are all defined in the product.
  • Owners and admins add staff, assign roles, link families to children, and end or restore access.
  • Packages, subjects and offers are retired, not deleted — and stay readable on the records that used them.
  • More than one branch: closures by branch, and a Today board for one branch or all of them.

Languages and devices

Praxadem is a web app built for phones first.

  • English, Arabic and French throughout, with a full right-to-left layout in Arabic.
  • Works in the browser on phones, tablets and computers, and can be installed to the home screen.
  • It needs an internet connection. Without one, Praxadem says so — it never shows work as saved when it was not.
